At Privateer Coffee Co., we take pride in crafting premium small-batch coffee and specialty tea for everyday adventurers. Your satisfaction is important to us, and we stand behind the quality of our Products. This Refund Policy outlines the terms and conditions for returns, exchanges, and refunds.

By making a purchase on our Site, you agree to the terms of this Refund Policy.


1. Perishable Products (Coffee & Tea)

Due to the perishable nature of our coffee and tea products, all sales of coffee and tea are final. We are unable to accept returns or exchanges on:

  • Whole bean coffee
  • Ground coffee
  • Single-serve coffee capsules
  • Loose leaf tea
  • Bagged tea
  • Specialty tea powders (Matcha, Hojicha, etc.)

This policy applies to both opened and unopened perishable Products.


2. Damaged, Defective, or Incorrect Orders

We carefully pack every order, but sometimes things happen in transit. If your order arrives damaged, defective, or incorrect, we want to make it right.

To report an issue:

  1. Contact us within seven (7) days of delivery.
  2. Provide your order number and a description of the issue.
  3. Include photographs of the damaged or incorrect item(s) and packaging, if applicable.

Upon verification, we will, at our sole discretion:

  • Send a replacement Product at no additional cost; or
  • Issue a full or partial refund to your original payment method.

We reserve the right to request that damaged Products be returned before issuing a replacement or refund.


3. Merchandise and Gear (Non-Perishable Items)

Non-perishable merchandise, including but not limited to travel mugs, enamel mugs, and apparel ("Gear"), may be returned within thirty (30) days of delivery, subject to the following conditions:

  • Items must be unused, unworn, and unwashed.
  • Items must be in their original packaging with all tags attached.
  • Items must not be personalized, customized, or made-to-order.

Return Process:

  1. Contact us to request a Return Authorization.
  2. Ship the item(s) back to us at the address provided. Return shipping costs are the responsibility of the customer, unless the return is due to our error (e.g., wrong item shipped, defective product).
  3. Once we receive and inspect the returned item(s), we will process your refund.

Non-Returnable Gear:

  • Items that have been used, worn, washed, or damaged by the customer.
  • Items returned without prior authorization.
  • Items returned after the 30-day window.

4. Refund Processing

Approved refunds will be credited to your original payment method within seven to ten (7–10) business days after we receive and inspect the returned item (for Gear) or verify the issue (for damaged/incorrect orders).

Please note:

  • Depending on your financial institution, it may take additional time for the refund to appear on your statement.
  • Original shipping charges are non-refundable unless the return is due to our error.
  • We do not offer refunds in the form of cash, check, or store credit unless required by law.

5. Exchanges

We do not offer direct exchanges at this time. If you wish to exchange an item, please:

  1. Return the original item in accordance with this Refund Policy.
  2. Place a new order for the desired item on our Site.

6. Order Cancellations

We work quickly to fulfill orders and get your coffee and tea to you as fast as possible. If you need to cancel or modify an order, please contact us immediately after placing the order.

  • If your order has not yet shipped, we will do our best to accommodate your request.
  • If your order has already shipped, we are unable to cancel or modify the order. You may return eligible items in accordance with this Refund Policy once the order is delivered.

7. Lost or Stolen Packages

Privateer Coffee Co. is not responsible for packages that are lost or stolen after the carrier confirms delivery.

  • If tracking shows your package as "delivered" but you have not received it, please check with neighbors, building management, or other household members.
  • Contact the carrier directly to file a claim or open an investigation.
  • If your package is lost in transit (not marked as delivered), contact us within fourteen (14) days of the estimated delivery date, and we will work with you to resolve the issue.

We strongly recommend providing a secure delivery address where packages can be received safely.


8. Sale Items and Promotions

Items purchased on sale, with a discount code, or as part of a promotional offer are subject to the same Refund Policy terms as regular-priced items, unless otherwise stated at the time of purchase.

Refunds for discounted items will be issued in the amount actually paid after the discount was applied.


9. Subscription Orders

If you have subscribed to a recurring coffee or tea delivery, the following terms apply:

  • You may cancel your subscription at any time through your account settings or by contacting us.
  • Cancellations must be made before your next scheduled order is processed. Orders that have already been processed cannot be canceled or refunded.
  • Subscription orders are subject to the same policies regarding damaged, defective, or incorrect items as outlined in Section 2.

10. Limitation of Liability

To the fullest extent permitted by law, Privateer Coffee Co.'s liability for any claim arising out of or related to a Product purchase shall not exceed the amount you paid for the Product(s) in question.

We shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your purchase or use of our Products.


11. Changes to This Policy

Privateer reserves the right to modify or update this Refund Policy at any time. Changes will be effective immediately upon posting to the Site. We encourage you to review this policy periodically.

Your continued use of the Site and purchase of Products following any changes constitutes your acceptance of the revised Refund Policy.
